Booking Policy

Booking policy for headshots, mini sessions, or discounted/special photography services. Extended services (1 hour or more) requires a signed contract (involving similar terms/policies that's shown below) between the Client & the Photographer.

Bookings

Bookings must be secured within 3 days after the Invoice has been sent out. Client cannot adjust their hours or change their package details after booking. Location changes may be discussed in the case of bad weather. If a photoshoot is split into different days, Client must inform the Photographer. Sessions cannot be divided into different days AFTER retainer is submitted. Session may be subject to cancellation and loss of deposit if client attempts to make unauthorized changes. Photographer may ask for additional information regarding the photoshoot prior to the date.

Inquiring about dates/times is not equivalent to an official booking confirmation which involves submitting a 50% security retainer. If the Photographer receives another inquiry conflicting with the Client's desired booking, the Client who inquired first will receive 1 warning and the Photographer must receive a response within 3 hours of contact. If a response is not provided, the Client's photoshoot will be voided & Client can choose to reschedule or not.

Security Retainer

A security retainer (known as non-refundable deposit) must be secured prior to any services being performed by Photographer. Retainer must be submitted no later than 3 days after receiving the invoice. For your convenience, payments can be made via online invoice using a valid credit card. There will be an 8% service tax applied to the invoice. Additional requests (edits, additional outfits/backdrops, etc.) will be send to the Client on a separate invoice.

 

 

Rescheduling & Cancellation

For Mini Sessions: All retainers serve as cancellation fee and will not be refunded. Client has only one photoshoot rescheduling pass if requested before 48 hours of shoot date. If an appointment is rescheduled, the client has up to 1 week to reschedule. If the second rescheduled photoshoot date and/or time is cancelled in a row or if 1-week reschedule timeframe expires, Client will have to reschedule the photoshoot completely which will require a new retainer. If any shoot is rescheduled within 48 hours from the initial shoot date, a $35 rebooking fee is required at the moment of alert. If photoshoot is completely cancelled due to reasons discussed with the Photographer (bad weather, family emergency, etc.), Photographer will accommodate with Client. Upon booking any photoshoot specials, no shoot date and time can be rescheduled.

For Discounts/Specials: Upon booking any photoshoot specials, no shoot date and time can be rescheduled. Any bookings of our special sales is non-refundable and serve as a cancellation fee. If Photographer needs to reschedule, it will be communicated with the Client.

Travel

Client can choose the Photographer's studio, or the Photographer can travel to the Client's chosen location. If the location is more than 10 miles from the Photographer's location, there will be an additional charge of $15 every 5 miles.

Time and Arrival

Photographer may ask for additional information regarding the photoshoot prior to the date. Photoshoots are spaced out to make sure they're not overlapping each other. Please arrive to photoshoot at least 10-15 minutes before the scheduled time, whether it’s at the Photographer's studio or off-site location.

  • If Client arrives 15 minutes late to the agreed upon time without notifying the Photographer, a late fee of $25 will be issued.

  • If Client doesn't arrive in 30 minutes, the Photographer has the right to cancel photoshoot in full and will immediately notify the Client of cancellation.

Photoshoot cannot be extended. Please consider that the Photographer has other bookings and cannot delay those sessions. It is the Client’s responsibility to inform the Photographer if bad weather and family emergencies are the cause of lateness. If Client makes it to session late without notice, the late fee will be applied to the remaining balance. In these situations, absolutely no refunds will be granted.

The Photographer also has the responsibility to show up on time.

  • If the Photographer is 15 minutes late without providing any communication to the Client Photographer will apply a 15% discount to remaining balance.

  • If the Photographer is 30 minutes late without providing any communication to the Client, this would the ONLY acceptation that the Client can request a full refund of retainer.

If Client books additional time prior to shoot for hair and/or makeup preparation, please make sure all parties are on time. For example: If Client books photoshoot for 3pm but needs an hour prior for hair and/or make-up, all parties would need to arrive by 2pm.

Preparation for Photoshoot

Photographer can make recommendations, but hair stylist, wardrobe stylist and make-up artists are NOT included in any photography packages. If Client needs to schedule a time-slot to use Photographer’s studio for preparation before photoshoot (applies to studio shoots only), there will be a cost of $15 for 30 minutes and $25 for 1 hour. Client has to inform Photographer if a hair stylist, wardrobe stylist, and/or make-up artist is coming (as Photographer understand some Clients do their own preparations). If preparation runs into Client’s photoshoot time, the photoshoot cannot be extended without a fee. If additional preparation isn’t needed, please come ready to shoot.

Outfits and Backdrops

Outfits and backdrop are pre-arranged based on the photoshoot package that’s chosen. If the Client chooses to add an additional backdrop to the session after submitting the retainer, the cost will be $15 per backdrop. If the Client chooses to add an additional outfit to the session after submitting the retainer, the cost will be $15 per outfit. The Client must notify the Photographer via email or text before the photoshoot.

Props

Client is allowed to use props that's available in the Photographer's studio or bring their own props.

Guests

Preset photoshoot packages are for one person, and only the Client can be allowed in the studio during photoshoot. If the Client doesn't mention other persons involved to the Photographer prior to photoshoot OR arrives with more than themselves without the Photographer's knowledge, a $25 fee per person will be applied upon arrival (regardless of age). Refusal to pay the fee will result in immediate cancellation. Certain photography inquiries such as group portraits (2+ guests), branding/product photoshoots, beauty preparation team, & etc. are permitted to have additional guests. However, every member present must be a part of the photoshoot whether it’s being in front of the camera or behind-the-scenes assistance. If the Client adds people to the photoshoot after submitting the retainer, the cost will be $25 per person from ages 13-current, and $15 per child from ages 5-12. Children under 4 years old will not be charged. The Photographer must be notified before the photoshoot to add on to the remaining balance.

Minors

All minors under 18 years-old are required to have their parent/guardian sign the photo release agreement with Photographer before the photoshoot is scheduled.

Photo Proofs/Edits/Turnaround Time

After the photoshoot is completed, watermarked proofs (aka unedited photos) will be sent to the Client via Pixieset platform. The Client will have a 30-day access to their online gallery which will be split into the following Gallery sets:

  • Photo Proofs (Watermarked photos, downloadable)

  • Final Photos (No watermarks, downloadable, high quality photos for social media posting)

 

Within the online gallery, the Client will be able to select their favorite photos by selecting the heart icon. The Photographer will create two favorite lists of the following:

Final Edits List: Choose proofs for final edits (additional edits outside of service).

Additional Edits List (Optional): Choose the photos you’d like to have for additional edits, which will cost $50 per color photo or $25 per black & white photo.

 

Process of Turnaround Time

  • Proofs will be uploaded to the Photo Proof gallery set.

  • Client will select the proofs by favoriting (aka selecting the heart icon) and adding to the Final Edits favorite list. 

  • Client will have 1 free revision request for all or some of edited photos, which must be determined at the initial request. Additional revisions will be $15 per photo. 

  • After the Client selects proofs to be edited, the process will take 1-2 weeks. If the Client would like to expedite the delivery of final edits within 24-48 hours (including weekends), it can be granted by paying a $50 express fee. 

  • The photos will then be uploaded to the Final Photos gallery set where the Client can download to their device & use.

 

Additional Notes:

  • Client can purchase photo prints from their online gallery. Client should NOT print on their own as their photo files are not set for photo printing & it will go against the Photographer's policy.

  • If the Photographer doesn't receive the remaining balance of the photoshoot (normally due the day of the photoshoot), the editing process will be delayed until the balance is paid. 

  • If the online gallery expires after 30 days and the Client needs proofs or final photos to be re-uploaded for access, the Photographer will charge a $25 fee to re-upload for 24 hours.

  • If the Client delays the process of selecting photos for final edits (including after invoice is paid), it will result in the editing timeline being delayed. 

  • If the Client receives final edits after 2 weeks without communication from the Photographer, the Client will receive a 20% partial refund.

 

If the Client needs assistance with the following process, please notify the Photographer as soon as possible. Only digital copies via Pixieset online gallery are provided at this time.

Appropriate Conduct/Safe Working Environment

The Client expressly agree(s) to take best efforts to provide the Photographer with safe and appropriate working conditions. In the event of circumstances deemed by either Photographer or a bystander to present a threat or implied threat of injury or harm to Photographer staff or equipment, the Company reserves the right to cancel all services remaining under this Agreement and leave the event. At the Photographer's discretion, the Photographer may enact a three-strike policy. After the first offense, the Photographer will make reasonable efforts to notify the Client or a responsible party. If the Client is/are able to respond to the threatening situation in a reasonable amount of time (maximum of 15 minutes), Photographer shall resume work in accordance with the original terms of this Agreement. If the threatening behavior occurs for a second time, the Client will agree to remove the offending person for the remainder of the event. If the behavior occurs a third time, the Photographer will immediately leave the event. If the Photographer leaves the event early due to any offending behavior, the Client expressly agree to relieve and hold Photographer harmless as a result of incomplete event coverage, or for a lapse in the quality of the Photographer work, and the Client shall be responsible for payment in full.

Ownership and Rights

All photos and images taken by remain the sole, copyrighted, intellectual property of the Photographer, even after full payment by Client and distribution to Client. Photographer may reproduce, use and distribute the photos and images for any business, marketing, or studio purpose. Model expressly agrees to release to any personal or proprietary interest in the photographic materials that result from the session and agrees that  may showcase, sell, or otherwise distribute photographic materials from the session, including those depicting Model.

 

DON'TS

  • Client shall not print photo copies of their final edited photos on their own & must order prints from the their online gallery.

  • Client shall not modify or otherwise alter Photographer’s photographic materials. Client shall never post any of Photographer’s photos in a format larger than 1024 x 768 pixels.  

  • Client shall not post physically or in digital form, including on any social media website, blog or application, any of Photographer’s photos without attributing Photographer.  

  • Client shall never use personal photos for business-related purposes without consent & licensing agreement from the Photographer.

  • Client shall never distribute or make available for download or reproduction any of Photographer’s photos without written consent of Photographer, unless the photos include Photographer’s watermark.

  • Client shall not publish photos without Photographer’s written consent and attribution to Photographer.

Promotion

Photographer will need to use photos from the photoshoot to promote business on the website and social media platforms. By submitting the invoice, Client will grant permission for Photographer to promote photos. If Client doesn’t want photos to be posted until a certain date, Client must inform the Photographer in advance.

Attorney

If legal action is necessary to enforce the terms of this contract the prevailing party shall be entitled to reasonable attorney fees in additional to any other remedies to which that party might be legally entitled.

 

By submitting the retainer, the Client had admitted to reviewing the booking policy.& terms. If the Client has any questions, it must be directed to the Photographer before submitting the retainer.
