Videography: Terms and Conditions

Updated 1/3/2021

COVID-19 Safety

When meeting Videographer, both Client and Videographer must wear mask at all times unless instructed otherwise. The only exception without instructions are beauty preparations and/or video shoot.

All videography services must be booked in the following formats:

After booking is submitted, the Videographer will contact Client to learn more about the details of the desired video shoot. After booking is approved, a proposal (invoice and contract) will be sent to the Client. When Client makes a deposit, the video shoot is considered officially booked.

Additional requests can be added when booking, which includes:

  • Preparation (before shooting, studio only): $15 for 30mins, $25 for 1hr

  • Additional location: $25/location

Client must provide as much information about their service as possible when submitting their inquiry. Additional requests will be added to the remaining balance of the shoot costs. Videographer will manually book the shoot afterwards. Once booking is confirmed and deposit is paid, booking details cannot be changed (i.e., Client cannot adjust their hours or change details after booking…location change may be discussed in the case of bad weather). Sessions cannot be divided into different days AFTER session is booked. Session may be subject to cancellation and loss of deposit if client attempts to make unauthorized changes.

Personal/Branding videography must be booked no later than 48 hours before the desired date. Event videography must be booked no later than 1 week before the desired date. Wedding videography must be booked no later than 1 month before the desired date.

An initial security deposit (also referred to as a retainer) must be secured prior to any services being performed by Videographer. Service requires at least a 50% non-refundable booking deposit, which will apply to the overall session cost and secure booking date and time. The remaining payment will be submitted after approving the final draft of video. Client must inform the Videographer if he/she chooses to pay via Cash, PayPal, or other electronic form of payment. Checks and money orders are not acceptable forms of payment. If Client decides to pay the deposit in Cash, the deposit must be delivered to the Videographer before services are provided. Client will have the option to pay for services in full, but it's not required.

Cancellations and Rescheduling

All security deposits serve as a cancellation fee and will not be refunded. All Clients have only 1 video shoot rescheduling pass. If an appointment is rescheduled, the client has up to 1 week to reschedule or they risk losing the deposit. If the 2nd rescheduled video shoot date and/or time is cancelled in a row, the Client will lose the deposit made and will have to reschedule the video shoot completely. If the video shoot is completely cancelled due to reasons discussed with the Videographer (bad weather, family emergency), then 25% of the security deposit is refunded. Upon booking any video shoot specials, no shoot date and time can be rescheduled. Any bookings of our special sales are non-refundable and serve as a cancellation fee. If Videographer needs to reschedule, it will be communicated with the Client.

Clearance and Rights

Client assumes all responsibilities for obtaining any necessary permission, clearance permits, etc., which may be required for the Videographer to film each event, public or private. Client assumes all responsibility for obtaining and retaining permission for access to any requested camera positions and is solely responsible for the quality of the final production resulting from the use of, or inability to use, such camera positions.

When choosing a location shoot, Videographer does travel to the Client's chosen location. There is an extra charge of $25 when the travel is more than 15 miles from the Videographer's studio location.

Time and Arrival

Video shoots are spaced out to make sure they're not overlapping each other. Please arrive to video shoot at least 15 minutes before the scheduled time, whether it’s at the studio or off-site location. If Client arrives 15 minutes late to the agreed upon time without notifying the Videographer, a late fee of $25 will be issued.

Once it gets to 30 minutes late, the Videographer has the right to cancel the video shoot in full and will immediately notify the Client of cancellation. Please consider that the Videographer has other bookings and cannot delay those sessions. It is the client’s responsibility to inform the Videographer if bad weather and family emergencies are the cause of lateness. Depending on the reason, the Client and Videographer will make special arrangements. If Client makes it to session late, the late fee will be applied to the remaining balance. In these situations, absolutely no refunds will be granted.

  • If the Videographer is 15 minutes late without providing any communication to the Client Videographer will apply a 15% discount to leftover balance.

  • If the Videographer is 30-45 minutes late without providing any communication to the Client, this would be the ONLY acceptance that the Client can request a full refund of security deposit.

If Client books additional time prior to shooting for hair and/or makeup preparation, please make sure all parties are on time. For example: If Client books a video shoot for 3pm but needs an hour prior for hair and/or make-up, all parties will need to arrive by 2pm.

Preparation for Videography

Videographer can make recommendations, but hair stylist, wardrobe stylist and make-up artists are not included in any of the videography packages. However, the Videographer does have a preparation section in the studio. If Client needs to schedule a time slot to use the Videographer's studio for preparation before the video shoot (applies to studio shoots only), there will be a cost of $15 per hour. Client has to inform Videographer if a hair stylist, wardrobe stylist, and/or make-up artist is coming when explaining the details of the shoot (as we understand some Clients do their own preparations). If Client mentions the need for additional hour(s) for beauty preparation before the session, Videographer will manually adjust the appointment in the calendar to include the additional time. If preparation runs into Client’s video shoot time, the video shoot cannot be extended. If additional beauty preparation isn’t needed, please come ready to shoot.

Outfit and Backdrop Changes

Outfits and backdrop changes are arranged based on the inquiry. Please read the description to the video shoot package that you are desiring to book. If you’re filming at the Videographer’s studio and choose to add an additional backdrop in the middle of your session, the cost will be $15 per backdrop.

Clients are allowed to use props that's available in the Videographer's studio or bring their own props.

Client must notify the Videographer of everyone that’ll be in attendance. However, every member present must be a part of the video shoot whether it’s being in front of the camera or behind-the-scenes assistance. If the Client arrives with more than just themselves without the Videographer’s knowledge, the video shoot will result in immediate cancellation.

All minors under 18 years-old are required to have their parent/guardian sign an agreement with Videographer before the video shoot is scheduled.

After filming, watermarked drafts will be sent to Client via email within 2-3 days. Client will have 1 free revision request. Additional requests will be $25 per revision.

Turnaround Time

After the editing process, Client will receive the final video via email/Google Drive in which Videographer only provides digital copies. Images will be available for 7 days, which gives the Client enough time to download to their device. Access will expire on the 7th day. Client will be reminded via text or email of expiring access to footage. If Client request the video after the 7th day, Client can ask Videographer to make it available for 24 hours, which will cost $25.

Videographer will need to use footage from the video shoot to promote business on the website and social media platforms. By submitting the security deposit, Client is granting permission for Videographer to promote footage. If the Client doesn’t want footage to be posted to the public, Client will need to inform the Videographer via email at BEFORE submitting the deposit. Videographer will not post until the Client posts first or gives the Videographer approval to post first.

Ownership and Rights

Once Client submits final payment for the video shoot, the footage will be the sole property of the Client. If images are for business use, Client can purchase a commercial license agreement to use images for an agreed-upon time-frame. Purchase of license agreement should be discussed with the Videographer. Please mention the need for a commercial license in the details of the video shoot.

Please take the time to read terms and conditions before booking. Videography terms and conditions are subject to change at any time without notice.
